The Production Assistant at Smyle is pivotal in the efficient running of Smyle’s projects.  You will be responsible for the day-to-day support of the Production team across multiple projects, event activations for major corporates and high-profile brands.   You will be expected to work closely with your Project lead, prioritising their requirements effectively, managing your own workload and working collaboratively with your fellow colleagues.  The role will undertake projects of varying sizes and involve direct contact with clients, delegates, and suppliers

Key Accountabilities

Project Support 

  • Build relationships with other departments within Smyle; Operations, Digital, Creative, Events and People Experience, offering support to regular project meetings 
  • Provide support for the Project team; assisting in taking briefs, developing critical paths and milestones schedules, ensuring these are followed, maintained and meet expectations
  • Being the point of contact for Production teams to add information onto IT systems ie Salesforce etc. 
  • Work with the team to deliver live and hybrid project solutions to the high standards expected by Smyle, always following our operational and financial management (Procim) systems and procedures.
  • Assist the Project lead in creating project budgets, ensuring PO’s are raised in a timely manner, and all sales invoices raised to client on time.
  • Negotiate with suppliers to ensure timely delivery and excellent rates
  • Sharing lessons learnt with Smyle colleagues and departments

Client Relationships 

  • Work with the project Production & Digital lead to manage client contact supporting all communications, calls and meetings
  • Be prepared to confidently attend project meetings and take detailed notes 

Creative & Development 

  • Support project Production leads to schedule, research and develop creative solutions/experiential concepts, ensuring client brand guidelines are applied consistently across all aspects of the project
  • Actively research new technologies and present or support members of the team in presenting these to the Innovation Teams.


  • Supporting the Project lead and pitch team; assisting in building the Pitch proposal by researching ideas, offering support in pitch meetings and inputting the budgets as necessary.

About you

  • Experience as a Production Assistant / Executive role within a similar size & quality organisation
  • Flexible approach to working hours as some events fall at weekends or evenings
  • Strong communication skills, both written and oral 

  • Exceptional attention to detail, inputting information quickly, accurately and thoroughly
  • Team player; happy to take instructions, work independently and as part of a team 
  • Resilient under pressure with the ability to maintain a high level of accuracy & adhere to high standards of quality when working to tight deadlines
  • Proficient and experienced user of Microsoft Office suite is essential, particularly Outlook & Excel
  • Excellent planning, organisational and prioritisation skills.
